Privacy policy

The short version

Maison Zolts is a small branding, design and marketing studio in Ontario. I collect a little bit of your information when you book a session, download the Strategic Brand Drafting Manual, sign up for emails, or just browse this site. I use it to talk to you, to send you things you asked for, and to understand how the site is being used. I don’t sell it. I don’t rent it. You can ask me to correct it or delete it any time by emailing creative@maisonzolts.com.

That’s the gist. The rest of this page is the full picture, in plain English, because you deserve to know exactly what happens to your information.

Who I am and how to reach me

Maison Zolts is a sole proprietorship owned and operated by Dasha Zolota in Ontario, Canada. I am the person responsible for how your personal information is handled here (in privacy law terms, the “privacy officer” is me).

What I collect and when

I only collect what I need to do the thing you asked for. Here’s every point where information comes in.

When you book a free brand strategy session. The booking calendar on the Contact page runs on Calendly. You give your name, email address, and anything you choose to type in the notes (usually a bit about your business). Calendly also records the time zone you’re booking from so the meeting lands at the right hour.

When you download the Strategic Brand Drafting Manual. The form on that page runs on HubSpot. You give your name and email address, and I send you the manual. You’ll also get the occasional email from me (more on that under “Marketing emails” below).

When you sign up in the footer. The “we rarely send carrier pigeons” box at the bottom of every page is also a HubSpot form. You give your email address (and your name if you feel like it) and you’re added to the Maison Zolts email list.

When you email or call me. If you write to creative@maisonzolts.com or call the studio, I keep the conversation so I can actually follow up on it.

When you just browse. The site uses analytics and tracking cookies (details under “Cookies” below). These collect things like the pages you visited, how long you stayed, roughly where you are (city level, from your IP address), what device and browser you’re using, and which site sent you here. This is not tied to your name unless you’ve also filled in a form.

Why I use it

  • To reply to you, book the session, and send you what you asked for (the manual, a proposal, a follow-up).
  • To send you marketing emails, only if you said yes to them.
  • To understand which pages people actually read so I can make the site better (and stop guessing).
  • To keep the forms from being flooded by bots.
  • To keep records I’m legally required to keep (for example, if we end up working together and there’s an invoice).

I don’t use your information for anything else without asking you first.

Marketing emails (the CASL part)

I take Canada’s anti-spam law seriously, and honestly I take your inbox seriously too. My rule is simple – I don’t email you unless there’s something in it for you.

  • I only send marketing email to people who have expressly opted in (a tick-box on one of the forms above, or a direct request to me).
  • Every email tells you who it’s from and includes the mailing address above.
  • Every email has an unsubscribe link. Click it and you’re out within 10 business days (it’s usually instant).
  • Unsubscribing from marketing doesn’t stop emails you actually need, like a reply to your question or a project update if we’re working together.

The tools that store or process your information

I’m one person, so I lean on a few well-known services to run the studio. Each of these stores or processes some of your information on my behalf. None of them are allowed to use it for their own marketing.

  • Calendly – the booking calendar. Holds your booking details (name, email, notes, meeting time).
  • HubSpot – my contact database, the two website forms and the email newsletter. Holds your name, email, form submissions, subscription status, whether you opened or clicked an email, and which pages you’ve visited after filling in a form.
  • Google Analytics and Google Tag Manager – website statistics. Holds anonymized browsing data (pages, time on site, device, rough location).
  • Google reCAPTCHA – the “are you a human” check on the forms. Google reads some browser and behaviour signals to decide you’re not a bot. Google’s own privacy policy and terms apply to that check.
  • Website hosting (WordPress) – the servers this site lives on keep standard server logs (IP address, time of visit, page requested) for security and troubleshooting.

I share your information with these tools and with nobody else, except: a contractor working on your project who needs it to do their job (they’re bound to keep it confidential), or if the law requires me to.

I do not sell, rent, or trade your personal information. Ever.

Where your information lives

Most of these tools are American companies, so your information may be stored on servers outside Canada (mainly in the United States). While it’s there, it can be subject to the laws of that country, including requests from courts or government agencies. I pick tools with solid security and privacy commitments, but I can’t promise that a foreign government will never ask them for data.

How long I keep it

  • Booking and email conversations: for as long as we’re in touch, and up to seven years after our last project together (Canadian tax rules require me to keep business records that long).
  • Email list: until you unsubscribe. After that, HubSpot keeps a record that you unsubscribed so I don’t accidentally email you again.
  • Website analytics: kept for 14 months, then deleted automatically. Google Analytics data is not tied to your name.
  • Contact records with no activity: if we haven’t spoken in three years and there’s no project record to keep, I delete you from HubSpot.

Your choices (unsubscribe, correct, delete, see what I have)

You’re in charge of your own information. Email creative@maisonzolts.com and I can:

  • Unsubscribe you from marketing emails (or just click the link at the bottom of any email).
  • Correct anything that’s wrong or out of date.
  • Show you what personal information I have about you and what I’ve done with it.
  • Delete your information, unless I’m required by law to keep some of it (I’ll tell you exactly what and why).
  • Withdraw your consent for anything you previously agreed to.

I’ll respond within 30 days, and in practice it’s usually a couple of business days. There’s no charge for any of this.

Cookies and how to say no

Cookies are small text files a site puts in your browser. This site uses them for:

  • Analytics (Google Analytics, via Google Tag Manager) – how the site is being used.
  • Tracking (HubSpot) – recognizing you if you’ve filled in a form, so I can see which pages you visited afterwards.
  • Security (reCAPTCHA) – keeping bots off the forms.
  • Basic function (WordPress) – things like remembering a form you started.

You can refuse or delete cookies in your browser settings (every major browser has this under Privacy or Settings, and you can set it to reject third-party cookies entirely). You can also install Google’s Analytics opt-out browser add-on. The site will still work if you block cookies, but the forms may need reCAPTCHA to run.

Keeping it safe

I use password managers, two-factor authentication, and encrypted connections (that’s the padlock in your address bar). Only I, and any contractor who genuinely needs it for your project, can see your information. No system is perfect, but I treat your data with the same care I’d want for mine.

Kids

This site and my services are for adults and businesses. I don’t knowingly collect information from anyone under 18. If you think a minor has given me their information, email me and I’ll delete it.

Changes to this policy

If I change how I handle your information, I’ll update this page and change the effective date at the top. If the change is a big one, I’ll email the list about it. Coming back here once in a while is the best way to stay current.
